How To Change a Printer from Offline to Online

You have installed a printer, you have turned it on, you have inserted the paper and you have chosen the Print command, but your printer still sits there doing nothing. What prevents your printer from spewing out the hardcopy of your document? If you look at the printer menu you will see that it’s on offline mode. There are different factors that may cause your printer to go offline. It could be that you installed a new printer but the old printer is still the one being recognized, or an error occurred during printing that caused the printer to go on offline mode and left you with pending print jobs. Thankfully, you are just a few clicks away to fix this problem. We will provide you with instructions for both PC and Mac. Read on to learn how to change a printer from offline to online mode.

1. Change printer from offline to online mode on a PC:

  • Make sure that the printer is powered on.
  • Pull up ‘My Computer’ then click on ‘Control Panel’. From the Control Panel, click on ‘Printers and Faxes’. You will then see a list of Printers connected to the PC.
  • Delete pending print jobs to make sure that the correct document will be printed later and for you not to waste paper. Double click on the printer that you want to use, and a window will appear showing you a list of pending print jobs. Simply click on ‘Cancel All Documents’ from the ‘Printer Menu’.
  • After you have deleted all pending print jobs, right click again on the printer icon and choose ‘Use Printer Online’.
  • Try printing a test file, if it doesn’t work the first time, reboot the PC.

2. Change a printer from offline to online mode on a Mac:

  • Make sure that the printer is powered on.
  • Pull up ‘System Preferences’ by clicking on the blue ‘Apple’ icon on the top left of the screen.
  • Under the ‘Hardware’ section, click on ‘Print&Fax’. A window pops up with a list of printers connected to the Mac.
  • Click on the printer that you will be using and click on the ‘Open Print Queue’ button.
  • The print queue window will appear, so just click on the ‘Resume Printer’ button.
  • Try printing a test file, if it doesn’t work the first time, reboot the Mac.

Whether you are using a PC or a Mac, by following the steps outlined above, you should be able to change the printer from its offline mode to online mode and you can proceed with printing your documents.
